The Grade Submission Tracker dashboard displays the total number of unreported or missing grades in a specific term, by subject, instructor, department, and class. The dashboard is hosted on the Duke Tableau Production server (https://tableau.oit.duke.edu). There is a separate dashboard for Mid-term grades and another for Finals. Refer to the FAQs for further clarifications.
How to log in
- Each dashboard requires a valid NetID and password to view.
- To log in and start using the dashboard(s), go to https://tableau.oit.duke.edu and log in with your Duke NetID and password.
- From there, you will be prompted to select a site. Choose "Tableau Production."
- You can either search for the relevant workbook using the text box in the top right corner of the screen and press Enter OR use the following URLs to access each dashboard:

ABOUT THE DATA
When you click on either of the URLs you will be automatically redirected to the “About the Data” tab or worksheet. This provides a summary of the contents in the entire workbook or dashboard.

OVERVIEW
This is the main content. It includes various filters that you can use to customize the data shown. Hover over the information (i) buttons for details on specific items. Click on the text and/or image on the top right corner for more information.
How to download images, PDFs, etc.
You are able to download the data you see in various formats such as images, PDF, PowerPoint, or Excel. If you click on the Download button found in the top right corner of the browser, you will see all options available to you. Please note that certain permissions do not allow for the Data option.
If you want to download the data found in the table at the bottom, we recommend that you first expand the table and then download.
How to download the "Details by Class" table
When you expand the table you are taken to an enlarged version that includes additional columns of data. This version is the most useful to download to Excel for further editing.
- Go to the top menu of the dashboard (the green-blue area).
- Click on the download icon located in the top right of the browser.
- Choose “Crosstab” to download as a spreadsheet in Microsoft Excel. Other options, such as PDF or PowerPoint are available to you.
- Make sure the “DOWNLOAD…” sheet is selected with “Excel” as format. Click the Download button.
How to use the filters panel
There are various filters to the right of the dashboard that allow you to customize the views.
Every filter selected will automatically filter relative and relevant values in other filter options. Hover over the “i” buttons to read about the specific filter element.
Tips
- Hover over the headings on the Class Details table to sort alphabetically.
- Use the “Department” filter to show all classes owned by a specific department, this includes cross-listings. Please note that if a course in a subject that you are responsible for is cross-listed with another subject and the other subject is the class that owns the combined section, you will not see that class.
- Use the “Subject” filter to show all classes with a specific subject area, this does not include cross-listings with classes in different subjects.
- Download the Class Details table to Excel for easier sorting and parsing, as you see fit.
FAQs
There are many reasons, including that the specific class section you are looking for may have zero enrolled students regardless of whether or not it is cross-listed with other subjects. It may also be because there is no primary instructor assigned to the class or possibly the class is under a different subject area. Remember, the subject area is the one assigned to the specific class section, i.e. ECON = Economics Department.
The first primary instructor on the class. If there are multiple primary instructors, only one will be included.
Check your browser settings. The dimensions (resolution) of the dashboard are made to fit most desktop environments, not ideal for viewing on a tablet or mobile device. Depending on your lap top’s or computer’s resolution, you may need to zoom out to see the entire dashboard. Use combination keyboard keys of CTRL and - to zoom out.
For every filter selected, other filters will be also filtered relatively to the first filter. For example, filtering on the department of African and African American Studies will also limit the data on the dashboard and the other filters to those subject areas, classes, and instructors that are set up or assigned to classes that are owned by that department.
Use the filters panel on the right side of the dashboard. Please note that the definition of “department” in DukeHub, and consequentially this dashboard, refers to the academic organization that is the assigned course offering owner of the class. This does NOT refer to the department that a faculty member belongs to as faculty can belong to multiple areas. The Office of the University Registrar has access to specific data on faculty, including name, ID, classes taught. We do not have access to elements such as faculty ranking, position, department, etc. Hence, this filter will always pertain to the department of the class in question.
If you want to save your filters for future viewing, you can customize your view by following these steps:
- While inside the view, i.e. OVERVIEW, go to the main menu bar and click on “View: Original”.

- In the dialog box provided, give your view a name and choose whether you want to make this your default view and/or share it or make it visible to others.

- Double-check your settings by confirming if you see that new view.
- To go back to that view, simply use the breadcrumbs at the top and click on Grade Submission Tracker (Final or Mid-term Grades). Then go to Custom Views.

In the Data Dictionary pop-up dialog box in the bottom right corner of the Filters pane. Click on the book icon to view the dictionary. Click on the X button to hide the dictionary.
There will be a value under the combined section (Comb Section) column as well as the “Crosslisted” text under the Course Type column in the DETAILS BY CLASS table in the Overview tab.
Additionally, if you hover over any of the columns labelled “Total…” you will see a tooltip that may include any crosslisted sections.
The search functionality in the keyword text box is based on a CONTAINS logic. Only one word is recommended. Commas are not advised unless a department description includes one. We recommend typing in EITHER the subject code such as ECON or BIOLOGY OR part of the description of the Department such as Economics (excluding any quotations or special characters).

Student details are explicitly and intentionally excluded from the dashboard due to privacy regulations governed by FERPA. There are users other than yourself and folks in your department who have access to all of the summary-level data on the dashboard.
